This Privacy Policy explains how La Mia Polo ("we", "us", "our") collects, uses, and protects your information when you use the Polo String mobile application and related services (the "App"). We are based in Australia and handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

By creating an account or using the App, you agree to the practices described in this policy.

Information We Collect

Account information. When you register, we collect your name, email address, phone number, and a password (which is stored only in encrypted/hashed form). We also record your selected role (for example player, breeder, or club operator).

Content you create. The App is a management tool, so we store the information you enter, including:

• Horse records — names, sex, colour, date of birth, weight, height, status, ownership, pedigree, and breeding information;
• Health and care records — care logs, veterinary and farrier notes, treatments, reminders, and calendar events;
• Documents and photographs you upload for your horses and their care;
• Tournaments, matches, live scores, teams, players, clubs, and fields you create or manage.

Device and technical information. If you enable notifications, we store a device push token so we can deliver reminders and alerts. We also keep standard server logs (such as request timestamps and error information) to operate and secure the service.

Usage information. We collect information about how the App is used — such as which screens are viewed and which features are used — linked to your account. This information stays within our own systems (it is never shared with third-party analytics providers) and is used solely to understand and improve the App.

We do not collect precise location, use advertising identifiers, run third-party advertising, or track you across other apps or websites.

How We Use Your Information

• To provide and operate the App and your account;
• To store and sync the horse, care, and competition records you create;
• To send account emails (such as email verification and password reset) and, if enabled, push notifications and reminders;
• To power in-app features you choose to use, including natural-language search and pedigree tools;
• To maintain the security, integrity, and reliability of the service.

How Your Information Is Shared

We do not sell your personal information. We share information only with the service providers that help us run the App, and only as needed to provide it:

• Amazon Web Services (AWS) — cloud hosting, database, and photo storage. Your data is stored on AWS infrastructure.
• Anthropic — the App's optional AI features (such as natural-language horse search and record scanning) send the relevant horse and roster information you query to Anthropic's Claude API to generate a response. Horses you mark as private are excluded from this. Data sent for these features is processed to answer your request and is not used to train models.
• Resend — delivers transactional emails (verification and password reset); your email address is shared to send these messages.
• Apple Push Notification service — delivers push notifications to your device.

We may also disclose information if required by law, or to protect the rights, safety, and security of our users and the service.

Visibility of Your Content

Some content is shared within the polo community by design. Horse records carry a visibility setting — private, discoverable, or public — that controls whether other signed-in users can see them. Horses set to private are visible only to their owner, creator, and accepted care-team members. You control these settings within the App.

Data Retention

We keep your information for as long as your account is active. When you delete your account, we delete or de-identify your personal information, except where we are required to retain certain records to comply with legal obligations.

Your Rights and Choices

• Access and correction — you can view and edit your account and records within the App.
• Account deletion — you can permanently delete your account from within the App at any time. You may also request deletion by contacting us.
• Notifications — you can turn push notifications on or off in your device settings.

Security

We protect your information using industry-standard measures, including encrypted connections (HTTPS/TLS) between the App and our servers, hashed password storage, and access controls. No method of transmission or storage is completely secure, but we work to protect your information and continually improve our safeguards.

Children's Privacy

The App is intended for a general audience and is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we will remove it.

Changes to This Policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you within the App.
